Caseware Working Papers | What to do when figures are accumulating in the trial balance?

What is the best approach to clearing the Trial Balance, when incorrect figures display as a result of accumulation?

  Answer:

It is important to ensure that the trial balance is in balance before and after import.  If the trial balance does not balance at the source (ERP system or Excel), it must be correctly adjusted before it can be imported into Caseware Working Papers.

If the trial balance did balance before import and does not balance after, it needs to be re-imported. If the figures in the trial balance are accumulating, it means a re-import was done without resetting balances and must be done again correctly.

1. Re-import from Microsoft Excel
a. Go to Engagement | Import | Excel File…
b. Follow the on screen instructions on the import wizard
c. Pay special attention to the following advanced specifications:
(1) Clear balances of periods being imported and
(2) Make sure the currency format is correct; uncheck to overwrite the default symbols set in your control panel. (For more information on Regional Settings, refer to How to ensure my figures import correctly from Microsoft Excel)

2. Re-import from accounting software
a. Go to Engagement | Import | Accounting Software
b. Select the required information for import.
c. When importing from accounting software and there are balances in your client file; you will be asked if you want to delete the amounts, select to delete to reset the trial balance
