When would I use the record layout file feature?

When would I use the record layout file feature?

  Answer:

Record layout files are useful when trial balances with the same layouts are imported frequently, retrieve a previously saved layout and settings (column selection and assignments, etc.) specified for a previous input file with the same layout in order to prevent having to re-enter them over and over again.

How to create a record layout file?

Once you have completed assigning your import fields (e.g Account Number, Account Description etc.), before clicking on import, you can complete the following to create a record layout file:

Save Layout Settings:  This option allows the user to save the layout and settings (column selection) that they have just specified to enable them to be reused for another input file, either for the same client or for a different client with the same file layout, without having to re-enter all the settings again.
  • Select the Browse | Navigate to where the layout file should be saved | Name file | Save

How to use a record layout file?

If you wish to use settings from a previous import you may do so by indicating it in the Record Layout File file in the Import Wizard dialog. Select the following ‘Import File’ Settings:
  • Record layout file (optional) | Browse | Navigate to the where the layout file is saved (.vtb file).

Thus you will not be required to assign import fields, the column field details will appear as those already assigned in the record layout file (e.g Column 1 will be Account Number, Column 2 will be Account description etc.)
